Who this policy covers

This Privacy Policy applies when you visit this website, contact MFS, request product or order support, or submit an order through our hosted checkout. In this policy, “MFS”, “we”, “us” and “our” mean MFS P/L — Medical Flavouring Systems.

It does not govern the independent privacy practices of external websites or service providers. Their own privacy notices apply when you use their services.

Information we collect

The information we collect depends on how you interact with us and may include:

• Contact and business details: your name, email address, phone number, pharmacy or organisation name and purchase order number.
• Order and delivery details: products selected, quantities, bonus-product choices, billing and delivery addresses, delivery instructions, order notes and transaction identifiers.
• Payment-related details: payment status and limited transaction information supplied by our payment processor. Stripe collects and processes full payment-card details directly; MFS does not receive your full card number or card security code.
• Communications: information in emails, calls, enquiries, complaints or other correspondence with us.
• Technical information: internet protocol address, device and browser information, requested pages, timestamps, referring page and security or error logs generated through ordinary website hosting.

Please do not include patient names, health information or other sensitive information in purchase order or order-notes fields. This site is not intended to collect patient records.

How we collect information

We generally collect information directly from you when you use checkout, email or call us, or otherwise communicate with our order desk. We may also receive order and transaction information from Stripe and routine technical information from the services used to host and secure the website.

If you provide information about another person—for example, a delivery contact—you must be authorised to provide it and should make them aware of this policy.

How we use information

We may collect, hold, use and disclose personal information to:

• prepare, process, confirm, fulfil and deliver orders;
• take payment, issue transaction records and administer trade or purchase-order requirements;
• answer enquiries and provide product, order or customer support;
• maintain accounting, tax, warranty, operational and compliance records;
• protect the website, customers and MFS against fraud, misuse, errors and security threats;
• improve the reliability and presentation of our website and services; and
• comply with legal obligations, resolve disputes and enforce our agreements.

We do not sell personal information. We do not currently use information collected through this website for behavioural advertising. If we send marketing communications, we will do so with consent or as otherwise permitted by law, and will provide an unsubscribe option.

Who may receive information

We disclose only the information reasonably required for the relevant purpose. Recipients may include:

• Stripe, which provides hosted checkout and payment processing;
• website hosting, infrastructure, email and information-technology service providers;
• couriers, warehouses, suppliers or fulfilment providers involved in delivering an order;
• accountants, insurers, auditors, legal advisers and other professional advisers; and
• regulators, courts, law-enforcement bodies or other parties where required or authorised by law, or where reasonably necessary to protect rights, safety or security.

If MFS is involved in a proposed or completed sale, merger, restructure or transfer of business assets, relevant information may be disclosed subject to appropriate confidentiality and legal protections.

Overseas processing

Some service providers, including Stripe and our website-hosting providers, operate globally. Information may therefore be processed or stored outside Australia in locations described in those providers’ current privacy notices. The locations can change as their infrastructure changes.

Where Australian privacy law applies, MFS takes reasonable steps appropriate to the circumstances when engaging service providers and handling any cross-border disclosure.

Cookies and similar technologies

This website does not currently use advertising cookies or analytics tags. Our site and service providers may use technical storage, cookies or comparable technologies that are necessary to operate, protect and deliver the website or hosted checkout.

The site loads typefaces from Google Fonts. As with other externally hosted resources, requesting those files may provide Google with routine technical request information such as your IP address and browser details. External links and Stripe Checkout may use technologies under their own policies.

You can configure your browser to block or delete cookies. Blocking technologies required by a third-party checkout may prevent that service from working correctly.

Security and retention

We use administrative, technical and physical safeguards designed to protect personal information against loss, interference, misuse and unauthorised access, modification or disclosure. No internet transmission or storage system can be guaranteed completely secure.

We retain information only for as long as reasonably needed for the purposes described in this policy, including order fulfilment, support, accounting, tax, fraud prevention, dispute resolution and legal compliance. When it is no longer required, we take reasonable steps to delete, destroy or de-identify it, subject to lawful retention requirements and secure backup cycles.

Access and correction

You may ask to access personal information that we hold about you or request that inaccurate, out-of-date, incomplete, irrelevant or misleading information be corrected. Contact us using the details below and describe the information involved.

We may need to verify your identity before responding. Access may be limited where an exception permitted by law applies. If we refuse a request, we will explain why and identify available complaint options where required.

Privacy complaints

If you are concerned about how we handled personal information, please send us a written complaint with enough detail for us to investigate. We will acknowledge and assess it and aim to respond within 30 days.

If you are not satisfied with our response, you may contact the Office of the Australian Information Commissioner.

Children

This is a business and professional product website and is not directed to children. We do not knowingly seek personal information from children through this site. If you believe a child has provided personal information to us, please contact us.

Third-party links

The website links to third-party resources, including Padagis product information and study documents. MFS does not control those sites or their privacy practices. Review the privacy notice of a third party before providing personal information to it.

Changes to this policy

We may update this policy to reflect changes to our services, technology, suppliers or legal obligations. The effective date at the top shows when this version took effect. Material changes will be highlighted on this website where appropriate.
